Where should I view actual card spending?​

Answer: Go to “Card Management > Transaction Records” to view spending made by virtual cards. You can filter by transaction type, status, Budget name, transaction time, and other conditions.

Why does a transaction not show as successfully cleared even though the authorization was approved?​

Answer: An approved authorization only means that the payment request was approved. It does not mean that final posting has completed. The transaction must still go through Clearing, which usually takes 1 to 3 days. Go to “Card Management > Transaction Records” and check the transaction type, current status, and update time. Do not make a duplicate payment just because the transaction has not yet been marked successful. If it remains uncleared beyond the platform’s normal processing time, provide the transaction ID, current status, and transaction time to the ORBSIS Support Team for investigation.

How should I investigate a balance or limit mismatch?​

Answer: First identify the level where the mismatch occurs, then check each level in order: Primary Account Balance → Sub Account Available Balance and Frozen Amount → Budget Limit and Utilized Limit → Card Limit and Total Spent → card transaction status. Also check for processing reversals, Budget allocations or returns, refunds, account adjustment records, and differences in time range or time zone. The system currently settles in USD. Do not count fund Transfers, Budget allocations, and card spending more than once.

How do I export card or transaction data?​

Answer: To export card data, go to “Card Management > Card List”. To export transaction data, go to “Card Management > Transaction Records”. Set the filters and click the download icon in the upper-right corner to start the export. Then go to “Task Center > File Export” and find the export task by file name, task status, or creation time. When the task status is “Completed”, click the download icon on the right to download the file. Export results are limited by the current account permissions, data scope, and filters.
