What Are Customer Onboarding and Operations​

Customer onboarding and operations start with Business Verification (KYB): complete the KYB review first, then find and review customers, configure available products, and finally review the data summary.

Why These Steps Must Be Completed in Order​

These steps are interdependent. The KYB result determines whether a customer can continue onboarding, while product configuration determines which Top-up, cashback, and card capabilities the customer can use. Doing them in the wrong order, such as configuring fees before approval, may cause billing errors or later disputes. Always review the current status before making a change.

How to Complete Customer Onboarding and Operations​

Review Business Verification (KYB)​

The KYB review confirms the consistency of the business entity, registration information, directors or legal representatives, ultimate beneficial owners, and submitted materials. The result determines whether the customer can continue onboarding and use the products.

Confirm that the application record matches the Entity information so that the wrong Entity is not reviewed.

Review the business materials and the information for directors, representatives, and beneficial owners item by item.

Check the document validity period, name, registration number, address, and high-risk hits.

Select the review result and enter notes that sufficiently support the decision.

Return to the list after submission and confirm that the status and operator have been updated.

Customer-facing wording: When additional materials are required, clearly state which document is missing, which field is inconsistent, and how it can be corrected. Avoid replying only “Review failed.”

Find and Review Customers​

The customer list is the entry point for all customer-related operations. Prefer searching by a unique ID. When using fuzzy conditions such as name or email, confirm the result again using the Entity information and status.

Configure Customer Products​

Product configuration determines which Top-up, cashback, and card capabilities a customer can use. These settings directly affect billing and card creation and should be included in change management.

Confirm the Entity and its commercial plan, then open the product configuration page.

Configure Top-up fees and, where applicable, tiered cashback rules.

Select the available Card Provider, Card BIN, currency, card type, and limit rules.

Review the effective scope and status, save the settings, and validate them with a test customer.

Change control: Changes to fees, cashback, or Card BINs may affect subsequent new Transactions or new cards. Whether changes apply retroactively to existing Cards and Transactions is subject to current product rules and the change order.

Customer Product Configuration: Fees, Cashback, and BIN Configuration

Review Customer Data Summary​

The customer data summary gives Finance, Customer Success, and Operations a shared view of a customer’s accounts, Top-ups, spending, Budgets, and cards. It helps identify issues but does not replace detailed ledgers.

  • First confirm the reporting currency and time basis.
  • When an overview number looks abnormal, drill down to the Primary Account, Sub Account, Budget, or transaction details.
  • Before responding to the customer, cross-check the information using the unique ID and transaction details.
